Position: Administrative Assistant
Reports to: Seminary Coordinator
Location: White Bear Lake, MN
Hours per week: 10-15
Pay rate: $18-20/hr
Requirements: Must be in the office at least one day per week


The role:

The Administrative Assistant is a highly organized and mission-minded individual who plays a key part in ensuring smooth operation of our seminary programs. This role will work closely with the Seminary Coordinator to support academic rhythms and organize logistical and operational details that help create formational student experiences. They will also work closely with the Business Administrator to process contributions and other sources of income. Success in this role looks like streamlined administrative processes, well-supported students and staff, accurate and accessible academic records, and events that reflect our seminary's relational and Christ-centered culture.

Responsibilities:

  • Maintain current and organized student information in Populi

  • Fulfill transcript requests for current students and alumni

  • Oversee Google Classroom set-up and archive

  • Process income from contributions, tuition, and other sources in collaboration with the Business Administrator

  • Support Dean of Spiritual Formation and Contextual Leadership in tracking the completion of MFT requirements

  • Support the LCMC continuing education program by assisting with registration, course set-up, grading, and faculty payments

  • Help plan and coordinate seminary events like Fall Retreat, Graduation, Alumni Days, and Golf Tournament

  • Collaborate with Technology and Communications Coordinator on layout and publication of seminary handbooks

  • Assist with online seminars, including video recording and editing

  • Be present at all in-person classes and gatherings to create a hospitable environment for students and instructor(s)

  • Attend monthly staff meetings

  • Other tasks as assigned



Qualifications:

  • A heart for servant leadership, demonstrated through humility, initiative, and a commitment to collaboration

  • Strong organizational and time management skills, with a high attention to detail

  • Excellent written and verbal communication skills

  • Ability to quickly learn and become proficient in essential technologies, including Google Classroom, Populi, basic video editing and uploading, and website updates

  • Please note: Formal training is not required, but candidates should demonstrate a growing proficiency and adaptability across a wide range of responsibilities
